Uni-Assist VPD Explained (2026): What It Is, Cost, Processing Time & How to Apply

The VPD (Vorpruefungsdokumentation) is the uni-assist certificate many German universities want before they will even look at your application. Here is what it contains, what it costs, how long it takes, how your Indian marks are converted, and how to avoid the mistakes that cost applicants a whole semester.

Quick answer: a VPD (Vorpruefungsdokumentation, "preliminary review documentation") is a certificate issued by uni-assist that confirms your foreign school or university certificates meet German entry requirements and converts your grade into the German 1.0-4.0 scale. Universities that ask for a VPD do not receive your application from uni-assist – you download the VPD as a PDF and upload it yourself to the university’s own application portal. In 2026 a VPD costs EUR 75 for the first university and EUR 30 for each additional university in the same semester, and processing usually takes 4 to 6 weeks after uni-assist receives your documents and payment. Indian applicants also need an APS certificate before applying.

What Is a VPD?

Many German universities do not check foreign certificates themselves. They ask uni-assist e.V., a central service that evaluates international applications for its member universities. For some of those universities, uni-assist does not forward the full application. Instead it issues a VPD, a short official document that tells the university three things:

  • Whether your qualification gives you access to higher education in Germany – direct entry, entry only to certain subjects, or entry only after a Studienkolleg or an assessment test.
  • Your overall grade converted to the German scale, where 1.0 is the best and 4.0 the lowest pass.
  • Key details of your previous studies, such as the degree, duration and credits, which the university uses to decide on Master’s admission.

The VPD is not an admission. It is the evaluation the university relies on when it decides whether to admit you. The university still makes the final decision, often together with other criteria such as language certificates, a motivation letter, a GRE or an entrance test.

The most common mistake is to assume the VPD is the application. It is not. If you receive a VPD and forget to apply in the university portal before its deadline, you are not in the selection at all.

Who Needs a VPD (and Who Does Not)

You need a VPD only when your chosen university and course ask for one. The admissions page of the course will say something like "VPD from uni-assist required" or "apply for a VPD first". For example, the Bielefeld University of Applied Sciences (HSBI) asks international applicants to request a VPD from uni-assist and then upload it in its own portal.

You usually do not need a VPD if:

  • the university evaluates foreign certificates itself and takes direct applications (many universities do);
  • the university uses the full uni-assist service, in which case uni-assist forwards your application instead;
  • you are treated like a German applicant, for example because you hold a German school-leaving certificate.

VPDs are common for Master’s programmes and for some Bachelor’s programmes at universities of applied sciences. Always check each course separately: two programmes at the same university can use different procedures.

VPD Cost in 2026

ItemFee
First VPD (first university) in a semesterEUR 75
Each additional university, same semesterEUR 30
Certified copies and translations (India)Varies – budget for attestation and translation where documents are not in English or German
APS certificate (India, required first)Separate APS India fee – see our APS guide

The uni-assist fee is a handling fee: it is not refunded if your documents are incomplete or the university later rejects you. Pay only through the uni-assist portal; uni-assist itself warns that payment requests come only from its own system. If you are applying to five universities that all want a VPD in the same semester, the total is EUR 75 + 4 x EUR 30 = EUR 195.

VPD Processing Time and When to Apply

Processing usually takes 4 to 6 weeks, counted from the day uni-assist has both your complete documents and your payment. In the weeks before the main deadlines – 15 January for the summer semester and 15 July for the winter semester at many universities – it can take longer. If uni-assist asks for a missing document, the clock effectively starts again when you upload it.

Because the VPD must be in your hands before you can complete the university’s own application, work backwards from the university deadline:

University deadlineSubmit VPD request byGet APS certificate by
15 July (winter semester)Early May at the latestMarch – April
15 January (summer semester)Early November at the latestSeptember – October
31 May or earlier (some Master’s courses)Late MarchJanuary – February

Some universities set an earlier deadline for applicants from outside the EU, so treat the dates above as the latest safe dates, not the ideal ones. Our application timeline for studying in Germany lays out a full 12-month plan.

Documents for a VPD from India

Exact lists vary by course; this is what most Indian Master’s applicants upload.

  • APS certificate – mandatory for applicants with Indian certificates.
  • Class 10 and Class 12 mark sheets and certificates.
  • Bachelor’s degree certificate (or provisional certificate) and consolidated transcript / all semester mark sheets.
  • Grading scale of your university – minimum pass mark and maximum mark or CGPA, usually printed on the back of the mark sheet or confirmed in a letter from the university.
  • Language certificates – IELTS / TOEFL for English-taught courses, or TestDaF / DSH / Goethe for German-taught courses, if the course requires them at this stage.
  • Passport copy.
  • Any other course-specific proof (internship certificates, module descriptions, GRE score).

Uni-assist accepts documents in English or German. Upload clear scans of officially certified copies as the portal instructs, and keep the originals – some universities ask to see them later.

Step by Step

How to Apply for a VPD: Step by Step

  1. Confirm the procedure. On the course page, check that the university asks for a VPD (not a full uni-assist application or a direct application) and note its deadline.
  2. Get your APS certificate. Indian applicants cannot complete a uni-assist application without it.
  3. Create your uni-assist account in the online portal (My assist) and fill in your personal data and educational history exactly as it appears on your documents.
  4. Choose the university and select the VPD option for the course you want. Add every university that needs a VPD for the same semester in the same account.
  5. Upload your documents – certified copies, transcripts, the grading scale and the APS certificate.
  6. Pay the fee online: EUR 75 for the first university, EUR 30 for each additional one. Processing starts only after payment arrives.
  7. Track the status and reply quickly to any request for missing documents.
  8. Download your VPD as a PDF from your uni-assist account once it is issued.
  9. Apply in the university’s own portal and upload the VPD there before the university deadline.

How Uni-Assist Converts Your Indian Grade

Germany grades from 1.0 (best) to 4.0 (lowest pass). To convert foreign grades, German universities and uni-assist generally use the modified Bavarian formula:

German grade = 1 + 3 x (Nmax – Nd) / (Nmax – Nmin)

Nmax is the best possible mark in your system, Nmin the lowest pass mark, and Nd your own mark. The pass mark your university prints on your documents matters a lot, which is why the grading scale belongs in your upload.

Example (illustrative)NmaxNminYour markGerman grade
Percentage system1004075%2.25
Percentage system1004060%3.0
CGPA on a 10-point scale1048.02.0
CGPA on a 10-point scale1057.02.8

Many Master’s programmes ask for a German grade of 2.5 or better. If your converted grade is weaker, you still have options – see German universities that accept students with a low GPA. The grade in your VPD is the official one; universities do not recalculate it themselves.

How Long Is a VPD Valid?

There is no single national rule: each university decides how long it accepts a VPD. HSBI, for example, accepts a VPD for two years from the date of issue. Other universities ask for a VPD issued for the current application semester. If you apply again in a later semester, check the course page before reusing an old VPD.

A VPD is also tied to the university it was issued for. Applying to another university that wants a VPD means requesting another one in uni-assist (EUR 30 if it is in the same semester as your first).

What to Do After You Receive Your VPD

  • Read the result line carefully. "Direct access" means you can apply to the course; "subject-restricted" or "Studienkolleg" results limit what you can apply for.
  • Check your converted grade against the course minimum before spending time on the application.
  • Complete the university application in its own portal, upload the VPD and any extra documents, and submit before the deadline.
  • Prepare the next steps in parallel: blocked account, health insurance and visa appointment, so you are ready when the admission letter arrives.

Common Mistakes Applicants Make

⚠️
Treating the VPD as the applicationA VPD only evaluates your certificates. You must still apply in the university portal before its deadline.
⚠️
Requesting the VPD two weeks before the deadlineAt 4-6 weeks of processing, a late request means missing the semester. Apply at least 8-10 weeks before.
⚠️
Uploading without the grading scaleWithout your university’s pass mark and maximum mark, your grade conversion can be delayed or less favourable.
⚠️
Applying through uni-assist before the APS is readyIndian applications are incomplete without the APS certificate, and the fee is not refunded.
⚠️
Picking the wrong procedure in the portalChoosing a full application where the course wants a VPD (or the reverse) wastes the fee and time. Check the course page first.
FAQs

Frequently Asked Questions

What is VPD in uni-assist?−

VPD stands for Vorpruefungsdokumentation, or preliminary review documentation. It is a certificate from uni-assist confirming that your foreign certificates meet German university entry requirements and showing your grade converted to the German 1.0-4.0 scale. You upload it to the university’s own application portal.

How much does a VPD cost?+

In 2026 the uni-assist fee for a VPD is EUR 75 for the first university and EUR 30 for each additional university in the same semester. The fee is not refunded.

How long does uni-assist take to issue a VPD?+

Usually 4 to 6 weeks after uni-assist receives your complete documents and payment, and longer in the weeks before the 15 January and 15 July deadlines. Request it at least 8 to 10 weeks before your university deadline.

Is the VPD sent directly to the university?+

Usually not. You download the VPD as a PDF from your uni-assist account and upload it yourself when you apply in the university’s portal. Only in a full uni-assist application does uni-assist forward your application.

Is the VPD the same as the APS certificate?+

No. The APS certificate is issued by the Academic Evaluation Centre at the German Embassy in New Delhi and verifies that your Indian documents are genuine. The VPD is issued by uni-assist and evaluates your eligibility and grade for a specific university. Indian applicants need the APS before they can complete a VPD request.

How is my Indian percentage or CGPA converted in the VPD?+

Generally with the modified Bavarian formula: German grade = 1 + 3 x (best mark – your mark) / (best mark – pass mark). For example, 75% where the pass mark is 40% converts to about 2.25.

How long is a VPD valid?+

Each university sets its own rule. Some accept a VPD for two years from issue, for example HSBI; others want one issued for the current application semester. Check the course page before reusing an older VPD.

Can I use one VPD for several universities?+

Normally no. A VPD is issued for a specific university, so each university that asks for one needs its own request. In the same semester each additional VPD costs EUR 30.
