Application Timeline for Studying in Germany, Month by Month
The single biggest reason strong applicants miss an intake is not eligibility — it is starting the process too late. Here is what a realistic month-by-month plan actually looks like.
Germany runs two intakes a year: Wintersemester (starting October, the larger intake with far more programmes open) and Sommersemester (starting April, fewer programmes available). Application deadlines for each are earlier than most students expect, and the visa process alone can take eight to twelve weeks once you have an offer.
The timeline below assumes a Winter intake, which is what most Indian applicants target. For Summer intake, shift every date back by roughly six months.
10-12 Months Before Intake: Foundations
This is the stage most applicants skip or rush, and it is the one that determines everything downstream.
Confirm your target: Ausbildung, bachelor’s or master’s
Your entire document and language strategy depends on this decision, so make it deliberately, not by default.
Start German language classes if your route needs it
Even for English-taught programmes, A1/A2 German meaningfully helps with daily life and some visa categories.
Shortlist 6-10 universities and programmes
Include a realistic mix – a few ambitious choices, several solid matches, and one or two safety options.
Start collecting academic documents
Mark sheets, certificates and syllabus descriptions can take institutions weeks to issue – request them early.
7-9 Months Before Intake: Testing and Documentation
This is where your paperwork actually gets built and verified.
Sit language tests
IELTS/TOEFL for English-taught programmes, or continue toward your required German level.
Get documents translated and attested
Sworn translation takes time to schedule, especially in application season – book early.
Submit to uni-assist where required
Processing commonly takes 4-6 weeks in peak season, so this cannot be a last-minute step.
Draft and refine your Letter of Motivation per programme
A generic letter is easy for admissions committees to spot and is one of the most common rejection reasons.
5-6 Months Before Intake: Applications
Most German winter-intake deadlines fall between May and July.
Treat these as the LATEST acceptable date, not the target date. Submitting six to eight weeks before the deadline gives you room to fix any document issue the university flags.
3-4 Months Before Intake: Admission and Visa Prep
Offers typically arrive in stages through July and August for an October start.
Accept your offer and pay any confirmation deposit
Some universities require this to hold your seat – do not delay past the stated deadline.
Open your blocked account
This can take one to three weeks depending on the provider, and your visa application cannot proceed without confirmation of it.
Arrange health insurance
Required for both enrolment and the visa application.
Book your visa appointment immediately

1-2 Months Before Intake: Visa and Departure
The national visa itself commonly takes four to twelve weeks to process after your appointment, so this window is tight by design.
Attend your visa interview with the complete document set.
Book accommodation in Germany before you travel, even if temporary for the first weeks.
Arrange airport pickup or initial transport if your university offers it.
Make copies (physical and digital) of every key document before you fly.

Realistically 10 to 12 months before, i.e. around October-November of the previous year, particularly if you also need to build German language proficiency from scratch.
It is very tight but sometimes possible for programmes with rolling admissions or later deadlines, and if your documents and language certificates are already in order. Restricted programmes with May/June deadlines will usually already be closed.
Commonly 4 to 12 weeks after your appointment, though it varies by mission and season. Book your appointment as early as your admission letter allows to avoid this becoming the bottleneck.
It can be, but far fewer programmes admit in Summer, so your choice of university and course narrows significantly. Confirm your specific target programme actually offers a Summer intake before planning around it.
